OH! We could also spread the word through other social sites. Make it an event on facebook and myspace. We could make out own Twitter account dedicated to the ball, and there can be mini contests, which will surely make more and more people follow it.

 Those are some great ideas! I don't know why we didn't think of a facebook page earlier. I can try to make it if no one else wants to.
But I think a lot of advertising would be most effective after the theme was chosen. Hopefully we can get that done soon and start~ 'cause we could make theme specific banners and stuff. <3
I've also been thinking about what Panda said and I think maybe we should talk about trying to set a date in stone earlier so we could advertise with a definite date. I don't know how that would conflict with people's schedules, but it might even help, because hosts could try and keep that weekend as clear as possible. ♥

Fully agreed. If we can set the theme and date early, we can work with it easier than if we wait.

Facebook is a great idea.
What about word-of-mouth? We could go around telling all our friends who use Gaia or who've been thinking about joining it to come.

Okay, as some of you know...actually none of you. Okays.
I have a business, I make jewelry. It's currently just a website, but I've been in publications, both online and magazine. I'll see about posting a link to this guild, or maybe offering a discount to those involved in the planning?
(and I think the new host should make the Facebook page, as well as choose the date ASAP.)

We could also get involved with some of the big name charities, along with the mini RPs and the facebook, it will draw attention.
The idea is to not be forgotten, mass pm invitations to mini events will also keep the ball on the minds of people, as well as make individuals feel special.
I like the idea of an art contest in order to have banners created as well. It will draw attention and get the art community involved, we would need collateral to draw the attention and artists we would need.

We could do "invitations" once the date is set. All of us in the guild can send it to all our friends, and tell them to pass it on. We could also have a link to a guild just for people participating in the Ball, but not helping plan. So they can get a feel for each other beforehand, and we can keep the updates going.

That's a great idea but we'd have to be really careful! ^^ 'Cause you know, telling people to pass stuff on becomes chain mail pretty quickly, and that's against TOS. ♥

Oh yes. I forgot about the chain mail one. I'm sure if we said on it "Be sure to invite all your friends for a fun time you'll all remember!" or something along those lines, it wouldn't be against ToS... Maybe we should check though. redface

I have a few friends on gaia and Facebook. And I have a lot of friends NOT on gaia. I could send them emails to join and maybe get them to come...

Yes. We'll have to get the date AND the theme immediatly. The Facebook is a great idea. There are people that are on Myspace and Twitter too. We could do something like that... And I think the jewelry is a good idea too. Mention it there too, maybe...

I really like the idea of having mini RPs that build up to the Annual Ball. Get them sucked in and hooked to the ball early! xd
I also love the idea of using facebook and twitter. I don't use either because all of my friends are on Gaia anyway, so I don't need them. But, I know that just about everyone nowadays has one. Maybe we could ask Gaia to send out something with the facebook connect feature?
I will going to Anime Weekend Atlanta in September, and Gaia will be there then. I can talk to the people there about the Annual Ball. Hopefully I can get one of the staff people to talk about it at the other conventions. Or, we could just PM the staff that goes to the conventions and ask them to mention the Annual Ball, and what it is.
